Working Arrangements

This role is offered on a casual temporary basis for 15-20 hours per week. The role is remote, however you must be have the right to work in Australia and be based in eastern Australia (NSW, QLD, VIC).

Job Summary

We are seeking a proactive and detail-oriented Business Support Officer to provide day-to-day operational support across finance, marketing, and general business administration. This role is ideal for someone who enjoys variety, takes pride in keeping the business running smoothly, and can work confidently in a fast-paced, remote-first environment.

You will work closely with leadership and cross-functional team members to ensure core business processes are documented, tracked, and completed on time — from invoices and reconciliations, to marketing coordination, to general admin support that enables our teams to focus on delivery and customer outcomes.

Key ResponsibilitiesFinance Support

• Xero - invoicing, bills, accounts receivable and accounts payable payable management.

• Xero - reconcile bank transactions and assist with month-end close activities (coding, supporting documentation, and variance checks).

• Xero - prepare routine finance reports for leadership (cashflow snapshot, aged receivables/payables, expenditure summaries).

• Preparation of supporting documentation for BAS/GST and audit requests.

Marketing Support

• Coordinate the marketing calendar and assist in planning and scheduling campaigns, announcements, and product updates.

• Draft and publish content across channels (LinkedIn, website, email/newsletter) in line with Transportme messaging and brand tone.

• Maintain/update website and content (basic updates, website back-end management, new pages).

• Support content creation and asset coordination (presentations, brochures, one-pagers, proposal templates) including version control.

• Assist with event and conference logistics (registrations, supplier coordination, collateral, attendee lists, post-event follow-up).

• Maintain CRM/marketing lists and ensure contacts are clean, segmented, and compliant with relevant privacy requirements.

• Track campaign performance and provide basic reporting on key metrics (engagement, leads, website traffic, email performance).

General Business Administration

• Provide general administrative support to leadership and team members, including scheduling, meeting coordination, and minute taking.

• Maintain internal documentation, templates, and registers (policies, SOPs, supplier lists, contracts, compliance records).

• Coordinate travel and accommodation bookings when required and maintain travel itineraries.

• Support procurement processes (quotes, purchase orders, supplier set-up, tracking deliveries).

• Assist with data entry and upkeep of internal systems (CRM, project trackers, customer registers) ensuring accuracy and completeness.

Key Performance Indicators (KPIs)

• Invoices raised accurately and on time.

• Supplier invoices and expenses processed within agreed timeframes.

• Month-end reconciliations delivered on schedule with complete and well-organised documentation.

• Marketing activities delivered to plan (calendar maintained, posts/campaigns scheduled, assets current).

• Internal administration tasks completed with high accuracy and strong stakeholder satisfaction.

• Up-to-date registers and documentation that enable smooth handover and operational continuity.

Required Experience

• Minimum 5-8 years’ experience in administration, business support, or operations support role is essential

• Minimum 5-8 years’ experience using Xero to trial balance is essential

• 3-5 years’ experience using Zoho would be ideal

• Hands-on experience supporting finance administration (invoicing, reconciliation support, AP/AR tracking).

• Basic design capability using tools such as Powerpoint or Canva (updating templates and creating simple assets).

• Experience maintaining website CMS ( WordPress) and/or email marketing tools (Zoho).

• Strong written communication skills with ability to draft professional emails and marketing copy.

• High attention to detail, strong organisational skills, and the ability to manage competing priorities.

• Exceptional customer service skills

• Confidence using cloud-based tools and modern business software (e.g., Microsoft O365, Xero, Zoho, Fishbowl, DocuSign, Jira/Confluence).

Highly Desirable

• Experience in SaaS, technology, or the transport/transit sector.

• Understanding of procurement and contract administration processes.

• Experience working in a remote or distributed team environment.
