About the Role:
We’re looking for a skilled Virtual Operations & Marketing Assistant to oversee our operations, streamline processes, and drive growth. This is a full-time, remote position that plays a critical role in maintaining the high standards of our guest experiences while helping us scale our boutique vacation rental business.
This role requires close collaboration with our U.S.-based local employees to ensure seamless operations and exceptional service. You must also have strong English proficiency for guest communications (written and spoken) and the ability to engage in video chats with the owner as needed.

What You’ll Be Doing:
- Operational Oversight: Manage day-to-day operations, including guest communications, property listings, and vendor coordination.
- Guest Communication: Respond promptly and professionally to guest messages in fluent English, ensuring exceptional service and satisfaction.
- Property Management: Work closely with local employees to ensure properties are guest-ready, well-maintained, and meet our high standards.
- File & Data Management: Keep files organized and accessible while maintaining confidentiality.
- Strategic Planning: Collaborate with the owner to optimize workflows, improve KPIs, and develop long-term growth strategies.
- Marketing & Branding: Use Canva to design promotional materials, manage social media (including Instagram Reels), and oversee website updates via Wix.
- Content Management & SEO: Assist with SEO setup, configuration, and content optimization to improve online visibility.
- Tech & Tools Management: Use and optimize tools like OwnerRez, Hospitable, QuickBooks Online, Airbnb, VRBO, and ClickUp for operational efficiency.
- Bookkeeping Support: Handle light bookkeeping tasks and expense tracking.
- Guest Satisfaction: Ensure a smooth and enjoyable experience for guests by supporting seamless processes and local team coordination.
- Executive Assistance: Help owner with EA tasks like managing inbox, calendar, and personal tasks as needed.

- Create local guides and blogs for SEO
- Writing and posting blogs about our business
- Social Media
- Using Canva to make graphic design social media posts
- Creating Reels on Instagram
- Following others / commenting on other posts
- Carousel post creation
- Sharing our social media content in local Facebook groups
- Listings
- Updating listing photos and copy as needed on property management software
- Creating and maintaining guidebooks for each listing
- Google My Business
- Proper set up
- Maintaining the pages
- Contacting guests to ask them for reviews
- Guest Follow-up
- Implementing text and email campaigns for past guests
- On-site Marketing
- Designing or overseeing the design and implementation of on-site marketing efforts such as placards in the listings, and signage around the property
- Operations
- Organizational Support
- Setting up and maintaining our standard operating procedures, knowledge base and file organization
- Financial Support
- Light bookkeeping tasks
- Reviewing our weekly payroll time cards for accuracy by reviewing security camera footage
- Reviewing incoming scanned mail, organizing it and creating tasks based on type of mail received
- Ordering supplies, monitoring supply inventory
- Guest Support
- Review all automated messages each day
- Answering guests messages
- Coordinating with local employees for early check-ins, late check-outs
- Gathering feedback from cleaners and writing reviews for guests
- Responding to guests reviews
- Providing guests with trip plans and recommendations
- Team Support
- Overseeing our task management tool and cleaning tool, Breezeway
- Calling and emailing vendors as needed for maintenance issues
- Creating work orders in Breezeway based on guest issues
- Communicating with the rest of the team on local guest support needed
- Informing cleaning staff when guests leave early and informing guests when cleaning is completed early
- Maintenance coordination with local vendors
- Technology Support
- Answering incoming phone calls
- Managing listings and property management software knowledge base
- Reviewing and accepting booking requests from guests
- Managing our smart locks and smart thermostat settings
- Long-Term Rental
- Managing tenant requests at long term rentals
- Owner relations
- Answering questions from property owners about our management
- Inputting owner blocks and owner stays into property management software
- Preparing management contracts for e-sign
- Executive Assistant:
- Scheduling Getogether Stays company meetings and employee meetings
- Planning Getogether Stays company events
- Calendar management and travel planning for Eddie
- Email management and organization for Eddie
