About this opportunity:
The Event Strategist plays a pivotal role in bringing Calroy’s science and mission to life through both in-person and digital engagement. This role leads the planning, logistics, and execution of Calroy’s conference calendar, regional and digital events — including webinars, virtual summits, and podcasts — to ensure each initiative delivers measurable ROI and amplifies Calroy’s visibility among healthcare professionals and industry partners.
Collaborating closely with the marketing, sales, and leadership teams, this position manages all phases of event operations — from concept through post-event analysis — ensuring flawless execution, cross-functional alignment, and strategic contribution to Calroy’s overall growth objectives.
_Scope of Work:_Event Strategy & Planning
- Develop and manage Calroy’s annual exhibiting, conference, and digital event calendar in alignment with business goals and priorities.
- Identify, evaluate, and recommend conferences, webinars, and digital forums based on ROI, audience alignment, and marketing strategy.
- Collaborate with leadership to forecast and plan future event cycles (e.g., 2026) with clear budgets and performance benchmarks.
- Align all event strategies with Calroy’s broader practitioner engagement goals.
Project Management & Execution
- Oversee logistics and production for in-person and digital events — including booth design, audiovisual needs, event technology setup, digital platforms, registration systems, and broadcast operations.
- Manage all pre-, live-, and post-event workflows for both physical and virtual settings, ensuring a seamless participant experience.
- Build and manage event project plans in Asana, keeping deadlines, deliverables, and cross-functional dependencies clear and current.
- Coordinate content, speaker assets, relevant contracts, and presentation logistics for educational and sponsored sessions, webinars, and podcasts.
- Manage event registration, travel, accommodations, and shipping of booth materials and collateral.
- Lead onsite and live-event support, troubleshooting issues and ensuring technical and operational excellence.
Cross-Functional Collaboration
- Serve as liaison across marketing, sales, R&D, and operations to ensure strategic alignment and cohesive messaging across event formats.
- Partner with internal experts, KOLs, and presenters to prepare materials, schedules, and engagement strategies.
- Collaborate with vendors, agencies, and event organizers to ensure brand standards and compliance with event requirements.
- Work closely with digital marketing to leverage post-event engagement opportunities, including recordings, lead nurturing, and analytics.
Performance & Optimization
- Measure and report ROI for all events — including attendance, engagement, and lead generation metrics.
- Conduct post-event debriefs to document outcomes, learnings, and actionable recommendations.
- Evaluate cost efficiencies and process improvements for both physical and virtual event execution.
- Maintain detailed financial tracking and ensure adherence to budgetary and operational goals.
Requirements:
- Bachelor’s degree in Marketing, Communications, Event Management, or a related field.
- 3+ years of experience coordinating both in-person and digital events, ideally within the health, wellness, or supplement sectors.
- Demonstrated ability to manage multiple complex projects under tight deadlines.
- Proficiency in Google Workspace, Asana (or similar project management tools), and digital event platforms (e.g., Zoom, Bizzabo, On24, StreamYard, or equivalent).
- Excellent written and verbal communication and organizational skills.
- Strong understanding of event technology, registration systems, and digital broadcast tools.
- High attention to detail, proactive problem-solving, and ability to adapt quickly to change.
- Travel to conferences and events required (10–15%).
- Must have high-speed internet access and a quiet workspace during business hours.

Performance Outcomes / KPIs:
- ROI metrics for all events (in-person and digital) tracked, analyzed, and reported within 30 days, 6 months, 12 months post-event.
- Event timelines, budgets, and deliverables achieved on schedule.
- Post-event satisfaction scores from stakeholders and attendees average 90% or higher.
- Event processes documented and improved quarter-over-quarter for efficiency and quality.
- All digital event assets archived, repurposed, or available to be integrated into ongoing marketing initiatives.
