Part-Time to Full-Time

We’re a small but fast-growing performance coaching company helping high-performing real estate agents rebuild their energy, improve their execution systems, and scale sustainably without burnout. We work 1:1 with agents (including top 1% performers) and run group coaching, retreats, and content-driven programs that deeply transform our clients’ business and life. We’re now looking for a high-level organiser, systems thinker, and operations-focused creative who can keep the backend of the business running smoothly while bringing structure, clarity, and momentum to every project. Your Role (What You’ll Own)

  • Operations & Systems (Core Responsibility)
  • Build, maintain, and optimise internal systems (Notion, CRM, workflows, tagging).
  • Manage client processes: onboarding, tagging, updates, organising files, resources.
  • Keep the founder organised: calendars, weekly priorities, project follow-up.
  • Create structure inside the business - repeatable processes, templates, SOPs.
  • Support program logistics (group calls, retreats, content drops, client resources).
  • Content & Creative Oversight

(You don’t need to design, you need to manage + review)

  • Review and approve carousel designs, simple edits, templates created by freelancers.
  • Coordinate with short-form editors & the YouTube editor.
  • Help keep brand consistency across platforms (IG, YouTube, email, funnels).
  • Setup content inside systems (Notion, Drive, CRM, folders).
  • Marketing Coordination (Light but Important)
  • Manage inbound DMs and tags in CRM.
  • Support funnels, nurture sequences, and simple campaign setups.
  • Understand the customer journey of a coaching business (top-of-funnel → nurturing → enrollment → delivery).
  • Project & Launch Management
  • Turn ideas into project plans.
  • Track deadlines and keep freelancers accountable.
  • Set up and maintain Notion project boards.
  • Make sure every project moves forward efficiently.

You’re a Great Fit If You Are…

  • A natural organiser with a systems brain.
  • Highly structured, disciplined, and reliable.
  • Adaptable, fast, resourceful, and proactive.
  • Curious about coaching, wellness, performance, or personal development.
  • Able to give feedback on design + content (you don’t have to create it).
  • Comfortable coordinating multiple freelancers.
  • Someone who understands the rhythm of a coaching or consulting business (even at a basic level).
  • Fluent in English.
  • Hungry to grow, young energy, committed, self-led.

Requirements Must-haves (non-negotiable)

  • Strong experience with Notion or similar project management tools.
  • Operational or project management experience (at least 1–2 years).
  • Very strong organisational skills.
  • Ability to manage content workflows (basic creative eye).
  • Comfortable with digital tools (CRM, social platforms, Google Drive).
  • Excellent written and spoken English.
  • Ability to work autonomously with little oversight.
  • Must be registered as a contractor / freelancer (paid via US LLC).

Nice-to-haves

  • Experience in coaching, consulting, or online education businesses.
  • Basic understanding of funnels, client journeys, nurturing sequences.
  • Interest in high performance, mindset, wellness, or real estate.
